Confronting a Malodorous Employee
As a manager or supervisor, you may receive complaints from co-workers about an employee with an offensive odor problem. This personal issue must be handled with discretion and sensitivity. Here are some tips to help you respond to this situation.
Respond to any co-workers who complain about an employees odors by telling the co-worker that you will address their concern. Instruct the co-worker not to say anything or do anything that may be offensive to that employee.
Try to spend some time in the presence of the employee to see if you can detect an offensive odor.
Individuals with an odor problem often are not aware of it.Arrange for a private, confidential meeting with the employee to discuss the concern. Mention that you (or co-workers) have noticed a bad odor of body odor, breath or gas and explain that you are concerned that it is having an impact on the employees ability to interact with his/her co-workers and/or customers.
Listen to the employees response. You may learn of circumstances that could be contributing to the odor such as a medical condition, religious/cultural ritual, dietary restriction or difficult living situation.
Be cautious about making statements or demands that could be construed as discriminatory under the Americans with Disabilities Act or the Civil Rights Act.
If you discern that there are no medical, cultural or religious reasons for the odors, you may want to inform the employee that his/her hygiene issue could become a performance issue. Be tactful but dont avoid the issue provide an honest confrontation.
Don’t imply that there is something wrong with the employee or make personal judgments.
Don’t simply suggest covering up the odor. Offer some suggestions for resolving the concern. Review the to-do list of daily showers, wearing freshly laundered clothing, avoiding raw garlic, using antiperspirant/deodorant, seeing their family doctor to review the need for dietary changes and to rule out underlying medical problems.
If the odor results from a disability, employers should consider whether reasonable accommodation is appropriate. Some common accommodations include allowing flexible restroom breaks to care for personal hygiene, providing an office with an air-purification system or odor-absorbing product, consider reassignment to a position that does not involve direct contact with customers, or allowing work from home.
Schedule a follow-up meeting to review this issue with the employee.
